Open Position: Executive Assistant

Founded in 1975 and operating continuously for over 40 years, Rapid Aid Corporation is a world leader in branded and private label manufacturing of easy-to-use, safe and comfortable hot and cold therapy products. We are the only manufacturer of hot and cold therapy products with wholly-owned manufacturing facilities in both North America and Asia.

We are seeking an Executive Assistant to join our team at our Mississauga, ON manufacturing facility to support our Chief Executive.


The Executive Assist is responsible for managing the schedule and communications for our CEO. Duties include prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements, as well as helping with various other administrative and organizational needs.

Specific tasks:

Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence. Filing important documents, such as reports, meeting notes, emails, and letters. Keeping the executive’s calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings. Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers. Conducting research and creating reports on various topics based on the needs of the executive. Planning and organizing events that take place externally, such as fundraisers, sporting tournaments, and appreciation events. Keeping important information and documents organized physically, and electronically. Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.

The successful candidate will have 3-5 years of directly-related experience with post-secondary education in business administration or a related field. Experience managing multiple calendars and booking travel is required. The successful candidate will have experience conducting research and creating reports and presentations using Microsoft Office.
